These terms describe the basic responsibilities that apply when a cooperative uses CoopFlow to operate member and financial workflows.

Using the platform

CoopFlow is provided to help cooperatives manage members, savings, loans, payments, communications, reporting, and related operations. By using the platform, your organization agrees to use it lawfully and responsibly.

Administrators are responsible for configuring roles correctly, reviewing approvals carefully, and keeping settlement, payment, and member records accurate.

Account responsibility

Each user is responsible for protecting their password, approved devices, and any second-factor or passkey access connected to their account.

The cooperative is responsible for promptly removing access for former staff, suspended members, or anyone who should no longer be able to operate inside the system.

Financial operations

CoopFlow provides workflow, accounting, notification, and reconciliation support, but cooperatives remain responsible for their own approvals, treasury decisions, settlement accounts, and compliance obligations.

Payment provider timelines, bank processing delays, and external service interruptions may affect transaction completion, notification timing, or reconciliation status.

Availability and support

We aim to keep the platform available and secure, but scheduled maintenance, provider downtime, banking delays, or network issues may temporarily affect service quality.

When incidents happen, audit logs, reconciliation tools, and support workflows are used to help identify and resolve the issue as quickly as possible.
